Understanding parent consent reports

Parent consent is easy to lose track of once a term is running, because the request lives in the workflow rather than on the student record. The Parent Consent Report pulls the current state of every consent into one list. Read on for what each status means.

Why this matters

The Parent Consent Report used to show you consents that had been completed, which in practice meant the ones a parent had already approved. The students you most needed to act on (the ones whose parent had not responded yet) were the ones the report could not show you.

It now returns every consent record that is still open or already decided, so approved, declined and not-yet-answered consents appear together. That is what makes it usable as a worklist rather than only a record of what happened.

What the report shows

One row per consent request. A student appears in more than one row when they have consent records across several terms, years or courses. The Term and Course columns are what tell those rows apart.

Column

High School

The student’s high school.

Parent Name, Parent Contact

Who was asked for consent, and the email or mobile number the request went to.

Consent Status

Approved, Declined, Pending or Unknown. See below.

Date of Signature

When the parent answered. Blank only while a consent is still Pending. A declined consent has an answer date, because declining is still a response.

Date Launched

When the consent request was first sent. This is a date and time, in your college’s time zone. It is the column you sort on to find aged requests.

Consent Frequency

How often this college asks for consent: one-time, per academic year, per term, or per course.

Term

The term the consent belongs to. Blank for one-time consents, which are not tied to a term.

Course

The course the consent belongs to. Populated only where the college asks for consent per course; blank otherwise.

Warning: if you feed this report into a spreadsheet or another system, check it before you trust the next export. The column previously headed Term Completed (If required per term/course) is now called Consent Frequency, and it no longer contains the same kind of value. It used to hold a term name such as “Fall 2026”; it now holds a frequency such as “per term”, and the term name moved into the new Term column. The column sits in the same position as before, so a saved import or a formula that reads it by position will keep working and quietly produce the wrong answer rather than failing.

What each consent status means

  • Approved, the parent gave consent. Date of Signature tells you when.
  • Declined, the parent was asked and said no. This is a completed response, so it has a Date of Signature too. Note the label is Declined; if you are filtering a spreadsheet, that is the word to match.
  • Pending. The request has been sent and the parent has not answered. These are the rows worth working through, and Date Launched tells you how long each has been waiting.
  • Unknown. The consent record is in a state the report cannot classify. This is rare. Contact the Help Desk with the student and the term if you need one resolved.

How this affects your outreach

Because the report now shows Pending consents with the date they were sent, you can tell the difference between a request that went out last week and one that has been sitting since a prior term. That distinction is the point of the change: an old Pending consent is usually either a student who has moved on, in which case chasing the parent is wasted contact, or a genuinely stuck registration that needs clearing.

It also means the report is no longer a list you can treat as “everyone who consented”. If you were using it as an approved-consent count, filter on Consent Status = Approved to get the old figure back.

Common scenarios

A student appears three times. The college asks for consent per term and the student has enrolled in three terms. Read the Term column to tell the rows apart; each has its own status.

A row has a Date of Signature but a Declined status. Expected. The parent answered, and the answer was no.

Term and Course are both blank. Expected for a one-time consent, which is not tied to either.

If a Student Number is blank. Consent records attached to a specific course do not carry the student number on this report. Identify the student from the name and email, and use the Course column to confirm which record you are looking at.
