College Administrator, District Administrator
DualEnroll accounts arrive by several routes: an administrator creates one, a student signs up from an invitation, or an instructor confirms a record you already hold. All of them now need an email address. Read on for who can create what, and what changed.
Every account starts with an email address
Every new DualEnroll account requires an email address. It is how the user signs in and where their notifications go. Phone-only accounts can no longer be created. Existing accounts are unaffected.
The ways accounts get created
- Students create their own. Students self-register from your college's sign-up page and choose their high school from a list. A high school appears in that list only while its Application toggle is on, on your High Schools page. There is no username to choose (email is the login) and a cell phone number is optional.
- Staff accounts are created by invitation. College users, high school users, district users, deans, and course reviewers are added by an administrator. The new user receives an email from noreply@dualenroll.com with a link to set up their account.
- Some flows can also activate immediately. When adding high school users, district users, deans, and course reviewers, you can choose Activate user instead of inviting: you set the login (we recommend their email address) and a temporary password, optionally require a password change at first sign-in, and communicate the credentials to the user yourself. College users are invitation-only at creation.
- Instructor accounts are created during credentialing. When an instructor confirms their account, DualEnroll builds it from their instructor record, which must have an email on file. If the email is missing, account creation stops with a clear message; add the email to the instructor's record and have them try again.
Who can create whom
- College users are managed by the roles that carry user-management permission: College Super Administrator, College Master Administrator, and College Basic Admin, plus college-system staff. A role without it does not see the College Users page at all.
- High school users, deans, course reviewers, and district users are managed by your college's administrators from the corresponding Profile Options pages. District Administrators can also manage users for high schools in their district.
- Role choices vary by college: the roles offered in each Add form are your college's configured list.
Invited vs. Confirmed
User lists show whether each person has been invited (email sent, account not yet set up) or confirmed (account active). If someone never responds to their invitation, an administrator can open their record and confirm the account on their behalf: set a login and temporary password, then communicate it to them.
Common scenarios
- "They never got the invitation." Check that the email on their record is correct, then re-invite or confirm the account on their behalf.
- "Can I create an account with just a phone number?" No. Every account requires an email address.
- "An instructor can't activate their account." Their instructor record is probably missing an email; add it and have them retry.
