Requires the workflow configuration tools
Some workflow steps wait on a student or parent to act, and stall when that person misses the first email. Automatic resends let a step follow up on its own, on a schedule you set, until it is completed or a maximum is reached. Read on to turn them on for one step and choose the interval and maximum.
Steps
- Open your workflow, find the step that should follow up automatically (for example, Parent Consent), then click Notification beside it. The page that opens is headed Notification Details for the step's name, the same page you use to preview a step's notification.
- Find the Automatic Resend Properties section.
- Under Enable Automatic Resend, check Resend this notification until completion.
- Set the Resend Interval: the box sits between the words Every and Days, and takes whole days only. Entering 3 resends the notification every three days. The interval is counted from when the step became active, not from when you save. For how the schedule behaves once it is running, see Understanding automatic notification resends.
- Set the Maximum Re-sends: the total number of automatic resends for the step. The field is required, and the page notes Up to 10 re-sends are allowed. Once that many have gone out, the step stops resending automatically.
Warning: Saving with Resend this notification until completion checked starts real notifications to students and parents on the schedule you set, up to the maximum. This includes registrations already waiting on the step: if one has been waiting longer than the interval you set, its first resend goes out on the next hourly check rather than after the full interval. Set the interval and maximum deliberately before you save.
- Click Save Resend Settings.
What success looks like
On the workflow's list of steps, a calendar marker appears next to the step showing the interval and maximum. When a registration reaches that step, its notification history shows a Next automatic resend scheduled for "…" line until the step completes or the maximum is reached.
Turning resends off
- Return to the same Notification Details page for the step.
- Click Remove Configuration. The button appears only once settings have been saved.
- Confirm when prompted.
Removal is not immediate: a step already waiting stops receiving automatic resends at the next scheduled check rather than straight away. To pause resends without discarding the settings, clear Resend this notification until completion and save instead.
If this doesn't work
- The step has no Notification link, or your list of steps will not open. The workflow configuration tools are not enabled for your college. Submit a request to the Help Desk to ask about turning them on.
