Review a high school's contracted courses

Once high schools start agreeing to pay for courses, the agreements are easy to lose track of. The Contracted Courses report lists every course a given high school has agreed to fund, so you can check it before a term opens or when a school asks.

Before you start

  • You can reach the Reports page. The report is available to every college, so there is nothing to turn on.
  • Someone at the college has recorded the agreements on the courses themselves. The report reads those entries, so it is empty until they exist.

Steps

  1. Go to Reports.
  2. Choose Contracted Courses.
  3. Pick a high school, or leave the selection on All to include every high school you have access to. There is no term to choose, because agreements are recorded per course rather than per term.
  4. Run the report and wait for it to finish, then download the CSV.

What success looks like

You get a CSV with one row for every high-school-to-course agreement, and four columns: High School Name, Course Number, Course Title and Course Subject. A course a high school covers appears once for that school, no matter how many sections it has, because an agreement is recorded for the whole course.

If you are high school staff, your rows are limited to your own school automatically.

Note: The report lists the agreements that exist. It cannot show you which courses a high school has not agreed to cover, so for a coverage review compare it against your own contracted list rather than expecting gaps to be flagged.

If this doesn't work

  • The report is empty. This is the common case and it usually means no agreements have been recorded yet, not that the report failed. The report is available to every college whether or not the college uses the feature. If your college does use it, check with whoever maintains the course records.
  • A course you expect is missing. Agreements are recorded course by course on each course record, so a missed course simply has no entry. Confirm on the course itself.
  • A high school you expect is missing. Only current partner high schools can hold agreements. If a partnership was ended, its agreements were removed along with it, and the report cannot show what they were.
  • You get more rows than you expected for a course. One row per high school per course is correct. A course covered by six high schools appears six times, once for each.
